MoU With Vikings Group
An MoU between the Vikings Group and the Tuggeranong Vikings Lawn Bowls Club was agreed and signed on 11 October 2024. Schedule 9 (Summary) of the MoU is below.
Schedule 9
This is a summary of the Memorandum of Understanding between Tuggeranong Vikings Bowls Club Inc (TVBC) and the Tuggeranong Valley Rugby Union & Amateur Sports Club Inc (Vikings Group).
The MoU commenced on 1 October 2024 and will continue unless replaced or terminated by either party.
The MoU states that the TVBC and Vikings Group are committed to maintaining a positive and cooperative working relationship, building on the TVBC’s affiliation status with the Vikings Group.
Both parties are committed to work collaboratively to deliver:
- Lawn bowling services for the community (including youth, disabled and seniors), including as an organised sport through formal tournaments, and through informal social bowling, and corporate and charity events.
- Modern club and bowls facilities, including upgrades and refurbishment and renewal of greens and associated spaces.
Communication
An Executive Liaison Group, with membership from both parties, has been established to foster two-way communication on key matters. The Group will discuss and consider any issues impacting on the relationship between the parties, such as the MoU arrangements, TVBC’s activities (including social bowls, tournaments and functions), and the Vikings Group’s redevelopment of its Tuggeranong Town Centre facilities (including plans for TVBC members to access bowling facilities elsewhere if facilities at the Tuggeranong site are unavailable during the redevelopment).
The Group will meet on a quarterly basis, or as agreed.
Assets and equipment
The MoU lists assets and equipment that the parties provide and maintain. For TVBC, they include the aluminium seating around the greens, bowls score boards, jacks, mats and corporate bowls kits, and equipment in the Kevin Hamilton Lounge, the bowls kitchen and the office. For the Vikings Group, they include the greens (minimum 2), the Kevin Hamilton Lounge, kitchen, office, storage and change room facilities, and overhead sunscreens and lights for the greens. Vikings Group will maintain the bowling greens at the standard required by TVBC, suitable for playing competition bowls organised or hosted by TVBC.
TVBC access to Viking Group’s facilities
The MoU states that TVBC has exclusive access to the office and storage (locker) rooms at any time and regular access to the kitchen, Kevin Hamilton Lounge and greens. When Vikings Group plans to use these facilities, it will be discussed with TVBC on a case-by-case basis, with precedence given to competition and social bowls organised or hosted by TVBC over corporate bowls or other activities organised by Vikings Group.
In addition, the greens and associated facilities will be available for casual coaching, roll-ups and informal practice games when they are not in use for organised competition, social or corporate bowls.
Corporate bowls
TVBC and Vikings Group will work jointly and cooperatively to provide corporate bowls, and charity and community bowls events.
Vikings Group will provide catering for groups requesting it. TVBC will provide supervision for the bowlers, set up and pack away equipment, assist bowlers with play, and ensure that the greens and other bowls equipment are well treated.
Bar services
The Vikings Group provides an exclusive bar service in the Kevin Hamilton Lounge on request of the TVBC, generally during and after pennants, social bowls activities and tournaments organised or hosted by TVBC. TVBC will only request such a bar service when it is expected that it will be worthwhile for the Vikings Group.
Catering
TVBC will give the Vikings Group the first right of refusal for catering at TVBC events with 100 or more attendees. This could include the TVBC annual Christmas Party and lunches associated with larger bowls events. If the Vikings Group opts not to provide catering, and when there are fewer than 100 attendees for an event, TVBC may provide sandwich/wrap/salad platters, biscuits and fruit, but not hot meals.
TVBC may also provide a BBQ service, including traditional BBQ foods and bacon and egg rolls, for any number of people at TVBC events.
TVBC can also maintain a tea and coffee station in the Kevin Hamilton Lounge. These beverages will not be brought into any other part of the Vikings Group facilities.
TVBC financial contribution to Vikings Group
The TVBC will make an annual financial contribution to Vikings Group which will constitute its contribution to costs for greenkeeper services, its contribution based on bowling activity levels, and its bar services contribution (for bar services provided on request in the Kevin Hamilton Lounge). This contribution will be subject to annual CPI increases.
